General Description:
Responsible for assisting the Suites Team with all aspects of the Suites Operations, servicing of suite clients, related suite ownership programs and VIP events. Reporting directly to the Senior Manager of Suite Services and Operations. Responsible for reinforcing the first-class service initiatives and standards of the suites department and build value beyond game day. The candidate must have outstanding relationship and organizational skills and possess strong verbal and written communication skills.
General Job Duties & Responsibilities:
Suite Owner Relationships and Client Service
- Constant communication with clients to (a) ensure they are getting the most of their partnership; (b) receive feedback and ideas on the suite program; (c) stay current on individualized details about each suite owner to strengthen relationship for future renewals.
- Collaborate with Corporate Sales client services reps as requested to ensure cohesive plan for clients that have a suite and sponsor relationship.
- Assist with creating meaningful, impactful and exciting communications to suite owners for VIP events, marketing our Suite Ownership program, exclusive events, and other sales collateral.
Party and Day-of-Game Suite Inventory and Operations
- Tracking, managing inventory and fulfillment of Party, Day of Game and Sponsor Suite sales. Collaborate with client services for assigning games to contracted sponsors.
- Responsible for ensuring contracts are executed timely, deposits received and handle future invoicing and payment follow up.
- Responsible for handling all aspects of execution (ticket fulfillment, catering, game day special requirements for access).
- Collaborate with Corporate Sales/Client Services as required for cohesive communications to clients. Includes creating reports with contact info, payment, info, execution of contracts, etc.
VIP Suite Events, Amenities and Non-Game Day Suite Visits
- Support and assist with coordination and execution of all VIP Suite Events (Exclusive Suite Owners Trip, VIP Training Camp Day, State of the Ravens, etc.), as well as assist with events hosted for Sponsors.
- Assist with ordering, fulfillment and delivery of all other requested amenities and VIP communications.
- Responsible for managing all details for non-game day suite use/events requested by suite owners. Point person for providing on-site access to the stadium and private suites for these events. This includes keeping a detailed schedule of suite owner requests and communicating information to all appropriate stadium partners.
Suite Ticketing, Fulfillment and Operations
- Assist all members of Suites Department as requested, with fulfillment of all elements of suite ticketing inventory (additional tickets, guest passes, parking, collections, etc.) for full-time suite owners Ravens games, playoffs as well as third-party events.
- Assist suite clients with activation of digital ticket program as requested.
- Assist with handling day-to-day additional ticket/parking requests throughout the season.
- Assist with collaboration with Ticket Office and Finance as requested by Suites Team for payments, invoicing and collections as requested.
Suite Level Aesthetics, Operations & Vendor Relationships
- Assist with fulfillment of specific branding requests and/or aesthetic upgrades requested by suite owners. Act as liaison with outside vendors/contractors to ensure projects are completed. Collaborate with Stadium Ops and MSA on all projects.
- Collaborate with Ravens Stadium Operations and MSA for all suite level operational needs and/or maintenance issues as they arise, not only game day, but throughout the year.
- Collaborate and build relationships with all stadium vendors (Levy, Safe Management, SP+ Parking and MSA Security) as it relates to the suite levels and suite programs, including game day and non-game day needs and requirements.
Game Day – Suite Level Operations
- Responsible for being “hands on” on Game Day to handle any issues that may arise, pre, during and post game. These duties could include ticketing requests, access issues, catering, anything and everything to ensure that our suite owners have the greatest experience each and every game day.
- Assist with coordinating game day staff work and logistics. Coordinating specific game day duties for on-field visit staff and suite concierge. Ensuring staff has the tools/equipment for game day (walkies, food coupons, etc.)
- Assist with management of Game Day Staff (both pregame on-field and concierge staff).
- Schedule and perform Quality Control suite checks of individual suites and associated areas as it relates to cleaning, furniture placement and maintenance prior to each home game and other stadium events.
- Communicate all maintenance, cleaning, or operational issues to the appropriate vendors, Stadium Ops, and/or MSA for repair or follow-up to ensure suite levels are 100% flawless for Game Day and/or other stadium events.
Required Education and/or Experience:
- Bachelor’s Degree (preferably in Business, Marketing or Sports Management or related area) with a graduation date of spring 2025 or earlier.
- Experience with customer service and/or working with a sports team or agency.
Requisite Abilities and/or Skills:
- The Intern will be expected to work full-time Monday through Friday (a minimum of 40 hours) by June of 2025 with evenings/weekends as needed for Ravens, client-related and/or external events and all Ravens home games.
- The ideal candidate must be a dynamic, outgoing and a self-motivated individual who is eager to assist with all duties related to daily correspondence and general office administration.
- Must be a problem solver with a positive attitude.
- Ability to interact with persons at all levels of an organization, both internally and externally
- Impeccable organizational skills with keen attention to details and nuances
- Must have a customer service focus
- Ability to effectively communicate both orally and written.
- Outstanding ability to manage multiple priorities and projects.
- Team player with passion for sports who takes work seriously but also likes to have fun.
- Excellent skills in Microsoft Word, Microsoft Excel, and PowerPoint.
- Have the ability to lift things weighing up to 50lbs.
